I want to tell you a story about my client, Matt Stark, and how I helped him customize his email template to better match his brand and get content out faster.
Matt is based in Washington, and he works with a lot of sellers in the Greater Northwest market. Greater Northwest Washington's real estate market is expensive, and Matt sells high-end properties. He's a wonderful client, always willing to learn and super flexible when I'm coaching him.
His biggest obstacle was...
Matt wanted to update his email template to match the branding he was going for. He wasn't completely happy with the base template we were using, and it was taking a little longer to get emails approved because something wasn't quite right.
He had specific ideas about what he wanted: his professional headshots as video thumbnails instead of screenshots from the videos, links to his Google reviews, buttons for recently sold homes, and new homes on the market. He wanted people to see that information right away because it was relevant to his seller audience.
The challenge was figuring out how to customize the template without creating extra work or delaying content from getting out.
My solution to the obstacle was...
I hopped on a call with Matt, my marketing coordinator, Carlo, and Matt's wife, who also works in marketing. We all met together and completely restructured his email template based on the things he was struggling with.
Here's what we changed:
First, we customized his video thumbnails. Instead of using screenshots from his videos, we used his professional headshot photos. Matt has about 200 professional photos, so we're able to switch them out and keep things fresh. We also added a red play button on each thumbnail, almost like a YouTube play button, which we customize every single time.
Next, we created a section for his Google reviews that links straight to his Google page so people can read reviews or write a new one.
Then we added buttons for recently sold homes and new homes on the market because Matt wanted people to see that information right away in every email.

We completely restructured the template, added his brand colors, and made sure everything reflected the luxury market he serves.

The best part? We structured it so those links continuously update on his end. The Google reviews link stays the same, and the recently sold homes and new homes sections update automatically through his website. That means we're not delayed at all waiting for extra content. We just need the video to get the email out.
The Outcome for My Client Was…
The biggest outcome is that it reduced the friction of getting approvals. Now, almost all of our emails get approved right away because Matt is happy with this new template.
In the past, it would take a little longer to get things out because he wasn't as happy with the template. Now we're able to get everything out right away with this new and improved design he's been loving.
